Research Grant Administration: Post-award Resources for Faculty: FAQs

How do I get an extension on my funding?

If you are running short on time and completion of your research project is looking like it will not happen within the assigned timeline, you may be able to request an extension. Each funding source will have its own set of terms on how and when to apply for an extension. At the Library, we recommend applying for an extension 3 months prior to the funding end date to ensure enough processing time and that funds won't be cut-off.

More information and resources on applying for extensions can be found HERE.

How do I hire a student?

Hiring a student needs to be completed in coordination with the Human Resources Strategic Business Advisor for the Library. A link to all key information on hiring a student is HERE.

Do I need to get travel insurance? If so, how?

According to the benefit plan for USFA members, travel insurance covers 100% of emergency services and 80% fo the costs for referred services. These are both subject up to a lifetime maximum of $3,000,000. Note that there are countries where this insurance is not available. If you are unsure of your coverage, please call Allianz Global Assistance before your departure.

Please review the Health Plan Summary link under your collective agreement for all conditions, limitations and terms of coverage.

Note that if insurance is required beyond that which is offered through your benefit plan, it is considered a reimbursable expense. If the trip you are planning on taking is considered to be University business, you will also need to complete a Travel Request form for your travel claim.

What are Faculty Startup Funds? What can I charge against them?

Faculty Recruitment and Retention Program (formerly the Startup Grant) are generic faculty support funds for new faculty across the University. The purpose of these funds is to

"provide start-up funds to all new tenured, tenure-track and continuing status faculty to help them establish their research program at the university. The program may also provide funds to existing faculty to assist them to re-active research programs or in situations where support is needed to retain a faculty member at risk of leaving the university."

You can find more information about and a list of eligible expense on the Office of the Vice-Provost, Faculty Relations here.

Why haven't my funds been released yet?

If your research requires ethics approval, your funds will not be released until that approval has been obtained from the Ethics Board. However, if you need some funds to prior to submitting your ethics, you may request a release of funds for work that does not require ethics certification from the Research Services and Ethics Office.

Do I need to submit a final report?

Whether you are required to submit a final report or not depends on the funding agency. SSHRC requires an "Achievement Report"  within 6 months after the end of the grant period. For all other funder requirements, check directly with each funding agency.
