This guide was conceived as an internal resource for the Library to help those presenting and developing content use the various technology in different and effective ways.

Sharing Multiple Windows

Before sharing any content:

  1. Be sure that you have no private information on your screen.
  2. Open the documents and presentations that you would like to share before you start your meeting and close all programs you do not want to visible to participants. Tip: close programs that send out alerts such as email, Teams (set to "do not disturb"), etc.

This short video demonstrates sharing multiple windows in Zoom (a powerpoint and web browser) and toggling between the two windows.  

To toggle between windows:

  • Windows: Alt-tab
  • Mac: Command-Tab

How do I share sound and optimize video sharing in Zoom when screen sharing?

By default, when you screen share in Zoom, participants will not be able to hear audio playback from your computer and will experience poor video quality and lag when sharing full-screen video clips. Follow these steps to share your sound and optimize full-screen video settings while screen sharing. 

When sharing videos or anything with sound, select the options Share Sound and Optimize for Video Clip when sharing your screen (bottom of share screen window).  https://wiki.usask.ca/x/yx91dw 

Using Power Point Slides and Being Able to Access Functions in Zoom

You may have noticed that when you are sharing PowerPoint slides, the slides take up the entire screen, preventing or making it more difficult for you to access different Zoom functions, like the participant list or the chat box.

To work around this issue, go into your PowerPoint settings and choose Slide Show > Set up Slide Show and click on “Browsed by individual (window).” This will make the PowerPoint screen float, enabling you to size it as you would like on your screen, making it easier to set and access other functions. For instance, you could have the slides take up 2/3 of your screen, while using the remaining 1/3 to set up the chat and/or participant list.

Moving the Chat Box

Sometimes when you are sharing your screen, you may lose sight of the chat box. 

If you have two monitors, you can move the chat box to your second monitor.  This essentially changes the chat from panel view to floating view. 

To do this:

  1. Select Pop-out, located in the top left corner of the chat box
  2. Grab the chat box and move it to the other screen.
